Administrative Assistant

Department: Technology
Immediate Supervisor: T3 Partner
FLSA Status: Exempt
Summary: The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, proactive, flexible, and enjoy the administrative challenges of supporting a small team in an IT consulting setting.

The ability to interact with clients and staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.

Essential Duties and Responsibilities:

 
  • Oversee day-to-day operations of the department; enforce best practices, identify areas for process improvement and assist on projects as needed.
  • Provide traditional administrative support for members of the team including: schedule meetings and conference calls, make appointments, assist members with travel and training arrangements.
  • Oversee and manage the department’s software renewals, orders, billing, licensing.
  • Handle customer and vendor relations.
  • Schedule and coordinate client demonstrations, webinars, and training.
  • Draft proposals for T3 and assist with finalizing the proposals and getting them out under deadline.
  • Draft non-technical memoranda, letters, meeting announcements and transcribe meeting minutes.
  • Assist members of the group on special projects, and other duties as needed.
Required Qualifications: 2+ years of administrative experience, ideally in a technology or services firm.

Ideal candidate must be a skilled communicator, director and motivator. Able to organize and prioritize many tasks effectively. Attention to detail, interpersonal skills, and organizational skills are also required.
Technology Skills: Individual should have knowledge and demonstrate proficiency with Microsoft Excel, Microsoft Word, and other Microsoft Office applications.
